Subscription & Account Data

• Data Includes: Your email address, Discord user ID, and subscription status (e.g., "Warrior Path"), which we receive via our reseller, Whop. Whop processes your payment information; we do not store your full payment card details.
• Purpose of Processing: To manage your subscription, provide access to our TradingView Suite and exclusive Discord channels, and offer customer support related to your account.
• Legal Basis (GDPR): Article 6(1)(b) – Processing is necessary for the performance of a contract to which you are a party.

Community & Support Data

• Data Includes: Your Discord user ID, public messages in our community server, and any direct communications with our team for support.
• Purpose of Processing: To operate and moderate our community, provide user support, and gather feedback to improve our systems.
• Legal Basis (GDPR): Article 6(1)(f) – Our legitimate interest in fostering an active community and providing effective support to our users.

YaeBot Usage Data

When you interact with our Discord bot, YaeBot, we process the following data to deliver its financial simulation and analytics services:

• Data Includes:
  • Discord Information: Your Discord User ID to identify you, and your Discord Roles (e.g., Goemon Warrior) to determine your access tier. Your Discord username may appear in temporary application logs for troubleshooting.
  • Simulation Data: The commands and parameters you submit to YaeBot (e.g., initial capital, win rate).
• Purpose of Processing: To provide YaeBot's core services, manage tier-based access, ensure security, and analyse aggregated usage data to improve our platform.
• Legal Basis (GDPR): Processing is necessary for the performance of a contract (Article 6(1)(b)) to deliver the service you requested. We also rely on our legitimate interests (Article 6(1)(f)) for security and service enhancement.

Website & Cookie Data

3. Data Processors & Third-Party Services

We partner with select third-party services that act as "Data Processors" on our behalf. They are bound by contract to protect your data with the same rigour we demand of ourselves.

• Whop: Our official reseller and subscription management platform. Whop handles payment processing and automatically assigns Discord roles based on your subscription tier. Review the Whop Privacy Policy.
• Discord: Our platform for community interaction and the operational environment for YaeBot. Review the Discord Privacy Policy.
• Plotly CDN: Some interactive charts generated by YaeBot may load the Plotly.js visualisation library from their Content Delivery Network (CDN). When you view these charts, your browser makes a request to Plotly's servers, which may log standard technical data like your IP address.

4. Data Security & Retention

Security Measures

Our security philosophy mirrors our trading methodology: multi-layered and robust. We implement appropriate technical and organisational measures, including encryption and strict access controls, to protect your data.

Our Discord bot, YaeBot, is self-hosted on dedicated hardware physically located in the Netherlands. This ensures data processing for the bot's core functions occurs within the EU. We apply rigorous security standards to our infrastructure to protect your data.

Data Retention

We practise storage limitation by design. We retain your personal data only for as long as is necessary to fulfil the purposes for which it was collected:

• Subscription Data: Retained for the duration of your active subscription and for a subsequent period as required by financial regulations.
• YaeBot Job Records: Your simulation parameters and associated Discord ID are retained for analytics and to allow you to review past work. You can request deletion at any time.
• Temporary YaeBot Data: Generated assets (charts, reports) are automatically deleted from our servers within 24 hours.
• Community & Support Data: May be retained while you are a member of our Discord server to maintain conversation history.
• Application Logs: Technical logs containing your Discord User ID are automatically deleted after 30 days.

5. Your Data Protection Rights under GDPR

As a data subject under GDPR, you have the following rights regarding your personal information:

• Right of Access: You can request a copy of the personal data we hold about you.
• Right to Rectification: You can request that we correct any inaccurate or incomplete data.
• Right to Erasure ('Right to be Forgotten'): You can request the deletion of your personal data, subject to legal and contractual obligations.
• Right to Restrict Processing: You can request that we limit the way we use your data.
• Right to Data Portability: You have the right to receive your data in a structured, commonly used, and machine-readable format.
• Right to Object: You can object to the processing of your data where we are relying on legitimate interests as our legal basis.

However, our use of third-party services like Whop, Discord, and Plotly (which are based in the United States) may involve transferring your data outside the EEA. We ensure such transfers are protected by appropriate safeguards, such as Standard Contractual Clauses (SCCs) approved by the European Commission, which contractually bind these services to protect your data to a standard equivalent to that of the GDPR.

7. Children's Privacy

Our services are designed for traders and are not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such data, we will take steps to delete it promptly.
